Sample policy: New employee orientation policy


Policy statement:

Every employee will receive departmental orientation during the first week of his or her employment.
The health information management (HIM) manager will:
1. Take the employee on a tour of the department and introduce him or her to the other employees
2. Explain the flow of the medical record through the department
3. Teach the employee the use of the telephone system, the filing system, the master patient index system, and the incomplete record control system; as well as the fax machine; computerized record-tracking; and the document imaging system
4. Review the computer procedures, which include:
• Signing on and off the computer

• Calling computer services

• Using the record-tracking system

• Using the document-imaging system
5. Explain the office security measures
6. Explain the computer application for clocking in and out of the department
7. Review the job description and obtain a signature
8. Review confidentiality policies and obtain a signature on the confidentiality statement
9. Perform detailed training of specific job duties
